Rosario is in a particular moment with automation right now: the city has a municipal program running that has already digitally diagnosed 90 local small businesses, with automation and applied AI as two of its core focus areas, and the Rosario Tech Hub just launched the country's first certification for training AI leaders inside companies and institutions. This isn't a trend arriving from elsewhere: it's something being actively built here.
The problem is that most of those programs -rightly- focus on training people and thinking strategy. What a small business often needs urgently is simpler: to stop losing an hour a day copying data by hand from one place to another. And for that, you don't need to wait for any program: real, free tools exist that anyone can start using today.
The free tools that exist today
Not all of them do the same thing, and picking the wrong one first wastes time instead of saving it. Here's what's actually out there, no fluff:
- Google Apps Script: free, always, with no usage limit that matters for a small business, if you already work with Google Sheets, Gmail, or Google Forms. It's the most underrated option because there's no marketing behind it -it's a Google tool, not a product selling plans- but for something as simple as "when a form gets submitted, send an email," it's more than enough.
- Zapier: the best known and easiest for someone who's never automated anything, with over 6,000 integrations. Its free plan gives you 100 tasks per month and 5 active automations ("Zaps") -enough to test the concept, not enough to sustain a small business with real volume.
- Make (formerly Integromat): a free plan of 1,000 operations per month, more generous than Zapier's, with a visual interface built for operations or marketing people, not necessarily developers. It's the option most often recommended for a small business that wants to automate real processes without learning to code.
- n8n: the only one that's genuinely free with no usage limit, if you install it yourself on your own server (self-hosted) -there you only pay for hosting, a few dollars a month-. It's open source and the most capable for connecting to AI models, but it asks for more technical knowledge than the other three.
For a small business with nobody technical on the team, the most realistic path is to start with Google Apps Script if the process lives in Google Sheets or Gmail, or with Make if the process crosses several different tools (a form, a WhatsApp number, a spreadsheet, an email). n8n makes sense once there's already someone on the team -internal or a vendor- who can maintain it.
A concrete example to start with
The most common mistake is trying to automate an entire process at once. It's better to start with something small and measurable: for example, every time an order comes in through a web form or WhatsApp, automatically create a row in a shared spreadsheet and send a confirmation to the buyer, without anyone on the team having to do it by hand. It's exactly the kind of repetitive task that eats someone's time every single day, and any of these four tools can solve it in an afternoon.
Where free tools stop being enough
None of the four is built to carry a growing company's entire operation. The limits always show up in the same places: when volume outgrows the free plan, when the process needs logic more complex than "if this happens, do that" -for example, an AI agent that understands a natural-language request and decides what to do with it-, or when something breaks at 11pm and there's nobody on the other end to fix it.
That's where it makes sense to move from an automation built with a free tool to one built to order, actually integrated with the systems the business already uses. It's the difference between connecting two forms and building, for example, a WhatsApp AI agent that handles entire conversations without a person needing to step in -like we already did with Grupo Previnca San Lorenzo-.
